In addition, as a supervisor you can check on your subordinates performances and assess them. When you record phone calls, you capture all the data of the call so no important details are missing. This can prevent misunderstanding between employees and customers and more importantly, they can reduce costly errors.

There are different ways to record a phone call. Here are two good options:

1. Axon PBX and VRS Recording System

  • Before anything else, you need to install Axon and VRS on your network’s server machine.
  • Go to settings dialog in the VRS then click ‘devices’. You will find ‘virtual audio sources (VoIP)’ section, under it, add a new VoIP recording line. When adding another line, you need to specify a name, password and the recording destination folder. Hit ‘OK’ then go back to the ‘devices’.
  • You need to make sure that ‘Run Server on TCP/IP Port’ is set to 4080.
  • Pick an extension number in Axon that you want to assign to your IP phone and configure the phone with the correct extension username, password and proxy server details. If you’re not sure about what details to configure, you can go to ‘set up instructions’ for the line in Axon web panel Extension section.
  • Going back to Axon, set up an external line to map the extension number configured into the IP phone. After this, you can setup recording on the external line to record incoming calls, or the extension line to record outgoing calls.
  • If you want to record both incoming and outgoing calls, click on the lines in the Axon web panel to access their properties. Then click ‘Click here to set the Recorder Settings’ under ‘Call Recorder’ section in the line properties. Change ‘VRS Host Name’ to ‘localhost4080’. Change also ‘VRS Access Code’ to the password you used when setting the VoIP recording line in the VRS previously. Then save changes.
  • In the line properties, check the box ‘Recording Incoming Calls’ when editing external line and ‘Recording Outgoing Calls’ when you edit extension line. Then save changes.
  • Now, your conversations will be recorded.

The system that manages all your calls is Axon, while VRS records them. This involves central control systems that will enable administrators to have complete control over recorded conversations. However, since phone calls are tapped in the middle of the line instead at one end, recording can cause delays into the conversation itself. Installed VRS on the same network can minimize this effect.

However, this effect will not be as effective with a third party network in a different country and the effect is more obvious. That is why this set up is only suitable for users with IP phones on their network that find it difficult to change to a softphone/USB phone solution. If you are willing to compromise phone call quality for full control over all call recordings, then this setup is perfect for you.

2. VRS and TRx Call Recording System

  • Before anything else, install VRS or TRx on your computer. It can either be a part of a network or a direct connection to the internet.
  • Now, you have to plug your IP phone into a spare network port near the VRS/TRx unit.
  • After powering your IP phone up, you need to connect the call recording adapter between the handset and the base of the phone. Afterwards, plug it into the microphone socket of the VRS/TRx computer’s sound card. Adjust desired settings.
  • Now, all your calls through your IP phone will be recorded by VRS/TRx.

VRS and TRx are both call recorders. The difference is that VRS records multiple lines at a central server while TRx records on user computers. Unlike Axon/VRS combination, VRS/TRx has phone calls tapped at one end of the line. This set up will not affect quality of the audio.

However, the recording mechanism is not controlled centrally. This means that anyone who can use your computer can turn off the recording manually. There are also other options of recording VoIPs such as by using a USB phone, express talk, or another softphone.
